Each one of them is responsible for handling front office reception and administration duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail.

  •  Booking and confirming showing appointments.

  •   Assisting salespersons in every possible way

  •   Broker loading your listings on Toronto MLS

  •   Creating feature sheets for open houses

  •   Creating offers for your buyers

  •   Schedule meetings and conference rooms

  •   Confirming salespersons for office monthly meetings

  •   Issuing parking passes and validating parking tickets

  •   Assisting the deal secretary with paperwork

  •   Follow up on pending files

  •   Social media marketing of listings

 

Services Offered By Our Deal Secretary

  •   Processing high volumes of deals by entering them into Lonewolf to generate trade records

  •   Answering phone calls and managing emails

  •   Communicate with front desk staff, Broker/Owner & Manager

  •   Corresponding with other Agents, Brokerages, and Lawyers

  •   Calculating commissions for real estate transactions residential, and commercial

  •   Invoice Vendors solicitor for commission

  •   Broker-load MLS® listings and any changes as required

  •   Ensuring privacy and security of all sensitive data following company policies

  •   Remind & follow up with agents about submitting paperwork (i.e. listing agreements) for deal processing & any other tasks related to the daily function of the deal processing department

  •   Handling of sensitive data and the brokerage’s bank accounts
